|
An initiative to train employees for better task management is a very straightforward matter that often requires developing a certain training task model and identifying a series of actions for implementing the overall training process. In this Task Training Checklist we illustrated the key steps to defining, assigning, performing and completing tasks by a group of employees.

1. Task Training Steps.
- Define Task. The first step of the training task process is to define a task. You need to engage your trainees in answering the following questions: What kind of task is it? What must I do? A clear and unambiguous task definition makes is easier for your trainees to better understand what you try to say. Any of the methods for task training (see below) can be used to make task definitions. A typical task definition includes: Task Name, Estimated Start Time, Estimated Finish Time, Planned Duration, Notes (any additional instructions).
- Assign Task. When the task is defined your next step is to assign this task to one or several performers. You need to make assignment lists and give each copy to every trainee. Note that some lists should have blank assignments (just descriptions of tasks but without names of performers who must do these tasks). Then engage all the trainees in answering the question: "Am I on task?" Those who have received task assignments should figure out they are assign to specific tasks. If there are several people for assigning to several tasks, you need to set up task order and show these people in what sequence they should do the tasks. For this purpose you can use task prioritization methods.
- Work in Group. In case you have assigned several people to one and the same task, these people should know how to work together and collaborate with each other. You need to provide a description of collaborative work steps and explain how to act as a joint team. For this purpose you can make a task matrix that includes task priorities, names of performers, their roles and duties within the team. Also don’t forget to include a detailed description of group subordination (who are team leaders and who are subordinates?). The matrix should have references to any external resources (like guides, manuals, books, tips) required for setting up team collaboration.
- Complete Task. The final step in training task force is to encourage your team in completing their tasks while sticking to collaboration principles and teamwork rules. As a trainer you should provide guidance to every member and lead the entire team during the training process. Role Playing and Case Study are two convenient methods for task training (see below). You need to make sure that every team member understands how to complete assigned tasks. For this purpose you can engage team members in answering the following questions: "How to complete tasks while working in a joint group?", "What can I personally do for successful task completion?" "What actions are required from me to complete the team’s overall task sheet?"
- Report Task. When your employees have accomplished their assigned tasks, they must provide a report to you. A typical report includes the following information:
- Task Name
- Assignee Names
- Current Status
- Estimated Start Time and Estimated Completion Time
- Date Started and Date Completed
- Overall Duration
- Notes (if any)
As a team leader you should review reports and compare actual time against planned time for measuring task performance. If task performance is satisfactory, you can approve task completion and accept reports. If task performance is unsatisfactory, you need to add appropriate records to the Notes section of employee reports and make suggestions on improvement. Then your employees will view your records and suggestions and have to get back to performing their tasks until successful completion is reached.
2. Task Training Methods.
- Lecture. Although this method is commonly used in educational organizations it can be successfully applied to training task force in commercial firms and companies. It is regarded as one of the most effective methods. It assumes that one person (trainer) leads a lecture and provides reading materials to listeners (trainees).
