Progress:
- Regularly generate project status reports to keep abreast of the project progression in terms of the scope, schedule, costs and quality;
- Control completion statuses of phases and particular work packages;
Use routine reporting to identify what has been done so far and what has not.
- Control and summarize costs paid so far, to compare them against the budget performance plan;
Use Earned Value Analysis to compare the value created against funds spent up to a moment.
- Track how well the actual project execution matches the planned timeline and milestones:
- Control and report current durations of completed project tasks;
- Compare them against initially planned durations of tasks;
- Forecast project completion time to define whether the project schedule is on track;
- Check whether the project reaches its planned milestones on-time;
- Control scope of the project to prevent its modification while the project is on the run;
Make sure all changes are implemented via applicable change management procedures to avoid uncontrolled project creep that might collapse the project.
- Apply early caution criteria on project checkpoints to prevent overrun on budget or timeframe;
Adjust project deviations early, but align your response with the project tolerance parameters to avoid overcontrol issue.
Deliverables and objectives:
- Control ongoing results of the project to know if you get everything you should have so far;
The progress is assessed by the achievement (or not) of specific objectives.
- Examine produced deliverables against appropriate success and quality standards;
Continually address the project tolerance measures to prevent low-value polishing.
- Validate deliverables that meet the standards during special meetings with customers;
Use applicable procedures of customer acceptance where needed or possible.
- Strictly control and document success on delivering the project results;
Use checklists to cross out the deliverables which have been already properly completed.
- Control whether obtained results can still properly work for the project objectives;
Make sure that assumptions and needs underlying the project are still relevant.
- Identify fails, delays or underperformance early as possible and response them as appropriate:
- Investigate why certain deliverable is delayed or failed;
- Generate corrective and preventive action plans;
- Consider adding changes in project scope (if no sufficient correction can be applied);
- Keep abreast of how the project is actually moving towards its objectives;
Use checklists to control step-by-step attainment of goals to learn if the overall direction of the project is still in line with the purposes of the project.
- Every controlled and verified deliverable is to be listed for a given milestone;
If the deliverable satisfies the need and date it has been expected to then an objective has been completed successfully.
Quality:
- Control how well defects in quality are prevented by adherence to appropriate procedures;
Continually make sure the quality management plan is known by the staff and working well.
- Monitor how the quality is gradually built in from the start of creating certain deliverable;
Remember that quality should be continually planned and realized as an embedded feature.
- Make sure there are enough of quality control-feedback loops implemented;
Accurate predictive quality controls enable detecting and rectifying issues early.
- Control and test every deliverable to compare it against expectations defined in the quality plan;
Reason any deviations as ones which are not critical (tolerated) and those which need a redo.
