1. List Tasks.
- Overview. The sign-off procedure includes a series of tasks you need to do to complete your process and make final inspection. Preparing for the procedure means making a list of all the tasks related to it. Here’re some ideas regarding such tasks.
- Walk through the process and define its key stages.
- Identify current status of the process.
- Make sure the process owner (a person (or a group of people) who has the ultimate responsibility for the process’s performance and its objectives) is in place and aware of any authorized changes to be made to the process.
- Record any updates applied to the process.
- Identify human resources involved in implementing the process.
- Define and estimate other resources involved in the implementation.
2. Design Sign-off Schedule.
- Overview. Before you can complete your process and sign it off, you need to have a detailed schedule of the sign-off procedure. Designing such a schedule requires you to define durations for all the tasks included in the procedure. Here’re some suggestions regarding developing the process sign-off schedule:
- Define the total duration of the procedure by aggregating durations of the tasks.
- Set start time and finish time for the procedure.
- Create a timeline based on the total duration.
- Add the tasks’ durations to the timeline.
- Add milestones and checkpoints to the timeline.
- In case of overlaps, use priorities to show which tasks should be taken first.
- Use your timeline to develop the signoff schedule that includes sequenced and prioritized tasks, their durations, checkpoints and milestones.
- Share this schedule with the process owner.
3. Identify Issues.
- Overview. Before you can proceed with implementing the sign-off procedure you need to define any issues of this initiative. How do you think what issues may block successful sign-off? Here’re some tips to help you answer this question and develop the issue list.
- Lack of resources (time, money, technology etc.) may cause failure or delay of the sign-off procedure.

- Lack of tactics and tactical solutions may cause failure of the procedure at the lowest level.
- Changes in process specifications and requirements may delay achievement of the procedure.
- Combine all the issues into a list and present it to the process owner for consideration and approval.
