1. What is a 'lessons learnt' and why to use it?

It is a knowledge management solution aimed at sharing and re-using information and experience derived from practices of managing previous projects. This process lets validate working experience and has a positive impact on gaining opportunities for improvements. It will give a foundation for successful management of future projects.

It is the key part of decision making process. It's the primary requirement for any solution and decision. The process involves both dynamic and technological components of decision making to arrange presentations which help potentiate and share knowledge with those who make decisions (decision makers) and those who carry out decisions (performers).

It is the heart of continuous project improvement. It allows collecting and analyzing information that characterizes original actions and attempts undertaken to complete previous projects. This process contributes to better understanding of positive experience, evaluation of deliverables, saving of project results for re-use, production of improvement criteria, and realization of opportunities for the next projects.
2. Managing lessons learnt process.

Initiation: Prior to initiation of a new project, you should review and investigate similar projects in the past. The reviews and investigations will provide you with an insight into project needs, requirements, opportunities and potential.

Planning: During this phase, it is recommended to create action plan. This document should have a detailed schedule that shows check points of what to use and watch out throughout the course of current project. According to the schedule, you can create todo lists and agendas to organize sessions with project participants.

Executing: While executing your project, you can keep logs in which you record and measure key learning opportunities for current project. Logs can be applied to organization of project meetings and workshops, so your next work session with team members will be better organized and conducted according to your agendas. Logs will capture benefits of current project that can be used later for measuring potential and uncovering opportunities for future projects.

Monitoring and Controlling: All key opportunities and benefits identified and measured in register (log) should be reviewed as a part of project monitoring and controlling. During this phase of process you can immediately gain solutions for challenges of current project by analyzing ongoing processes and resolving problems, so they do not occur again.

Closure: During closure of current project, realization of all benefits and opportunities should be considered and measured. As a project manager, you are responsible for ensuring that all captured items in register are implemented. As a result, you get post benefits and post lessons learnt that will be used later to manage opportunities for future projects. All information concerning derived benefits and uncovered opportunities can be described in reports.
