IT Project Checklist:
- Interview the future Project Customer (competent representatives of organization) to make you understand:
- The Customer’s vision of their business needs to be satisfied;
- How they state a purpose of the project they want to order;
- How they expect to benefit from the final project’s products;
- How do they conceptualize the project’s outcomes;
- How clear they are on objectives to be attained with the project;
- How do they motivate their requirements;
- When do they expect to have desired project results to be delivered;
- Consider how feasible and reasonable their requirements are, and decide if your project team, or your organization is really capable of delivering them in a full scale, if no, then:
- Highlight points in their requirements which you find unfeasible, and explain why it is so;
- Negotiate on these points until customers agree upon some more feasible solutions;
- Analyze the future Project’s background:
- What business processes the Customer has to be affected by a solution he demands;
- How this solution is expected to improve or facilitate these processes;
- What IT infrastructure the Customer already has/operates;
- What similar systems or solutions they are currently using in their practice;
- If any systems are currently utilized, define why they don’t fit their needs;
- What business situation and challenges they currently face;
- Sketch a general conception of future solution;
- Represent it to the Customer representatives on the meeting:
- Prepare some visual materials and schemas to make your ideas easier-to-grasp;
- If your company has done something similar before, then prepare screenshots and samples;
- Explain to them how you envisage the solution working for their needs;
- Make sure they understand your vision and ready to discuss it;
- Discuss it with them and consider all their suggestions and comments;
- Once you have a clearer picture of work to be done, get everything articulated with them again to check if this final conception is correctly understood by both parties;
- Roughly estimate time and costs which a project of this scope may consume;
- Discuss your estimates with representatives and document your resolution;
- Collect information (User stories) to enrich conception of the Project outcomes:
- Engage immediate users of future solution, or someone who can adequately represent them;
- Define their practical issues and needs, and how they want them to be resolved;
- Conduct surveys among users to define some essentials that would be helpful to you;
- Collect information on similar solutions realized before;
- Define “likes” and “dislikes” in that previous realizations, and how they can be improved;
- Establish consistent communications with users;
- Elaborate a more developed conception of your proposed solution, including:
- Sketches of user interfaces;
- Diagrams showing how different IT elements will be working together in your solution;
- Workflow diagram showing how your IT solution will affect/improve the existing processes;
- Draw a list of prospective features included into solution and user benefits to be gained;
- Identify and characterize inputs required and outputs produced by your solution;
- Identify and characterize computing resources necessary to drive your solution;
- Represent the elaborated conception to the Customer and continually refine it with their help;
