Employee Feedback Checklist:

  • Arrange regular feedback sessions – meet with the employees to discuss the issues without delay (if possible, meet them in person, or use teleconferencing when you work distantly). Arrange individual sessions for every particular employee, until it is about a group task;
  • Ensure proper privacy, agenda, and adequate amount of time for these sessions – be attentive to employees and never turn such sessions into formality. Even if there are no obvious issues to discuss you still need to maintain these communications – just discuss any methods that can make work of your employees better in terms of quality and productivity;
  • Maintain two-way communications – make sure your employees feel that their opinions and suggestions are taken seriously by the organization. Remember that employee input is one of the essential sources for change and innovation;
  • Create a positive, friendly, and safe environment where the personnel can feel open-minded whether to express their own opinions or to effectively perceive what you will tell to them;
  • Explain to the employee(s) the problem or achievement which is the dominant subject of this feedback session. Communicate the impact of the issue or achievement, so the employee can clearly understand why this session is important;
  • During a problem-focused feedback session ask the involved staff member(s) about his own vision of the problem or incident. Show your ability to listen and your impartiality in desire to find out the true within this situation;
  • Communicate your expectations – suggest why and how this problem can be resolved. If you speak about success or daily performance, then say thanks to the employees for diligence and conscientious work, and explain how performance can be improved for even better results;
  • Provide an opportunity for the employees to propose their own solutions against considered problems. Encourage proactive generation of suggestions as this is only way to reach a really deep understanding of the problem by the employees – reward their constructive efforts by positive reinforcement. Help to elaborate employee ideas into actions;
  • Collaboratively decide on specific improvement plans to be brought into action, and agree on timeframes for the problem resolution;
  • Define what can happen if the problem is not solved yet, and how you are going to react.....
